Why Gachibowli needs its own checklist
Gachibowli is not a generic "Hyderabad" delivery zone. Offices sit inside large gated campuses with their own security desks, visitor passes and loading bays. Lunch traffic on the Old Mumbai Highway and the Gachibowli flyover peaks at exactly the hour your food is due. And the workforce skews young, mixed and from every part of India, which means the veg/non-veg and spice balance matters more than it does at a family function.
Below is the checklist we hand to HR and admin teams who ask us how to compare vendors. It is deliberately vendor-neutral. Use it on us too.
The 12-point checklist
1. GST registration and PO-based billing
Ask for the vendor's GSTIN and check it on the GST portal. A caterer without GST registration cannot issue an input-credit-eligible invoice, which your finance team will notice at month end. Confirm they will work against a purchase order and raise invoices in your company's legal name. Mughlai Magic is registered in Telangana under GSTIN 36FLAPS4447B1Z5 and routinely bills against POs.
2. FSSAI licence
Every commercial kitchen in India needs an FSSAI licence. Ask for the number and the expiry date. If the vendor cooks in a central kitchen and delivers from there, the licence should be for that kitchen address, not a home address.
3. Veg / non-veg ratio, locked in writing
Decide your ratio (60:40 veg-to-non-veg is a common starting point for engineering teams) and get it written into the order. Also confirm whether pure vegetarian and Jain plates are cooked and packed separately, and whether the non-veg is halal-certified. A vendor who cannot answer this in one sentence will get it wrong on the day.
4. Packaging and food temperature
For daily office meals, ask whether plates are individually sealed or delivered in bulk trays. Individually packed meals travel better, are easier to distribute across floors and avoid the "who took the last non-veg" problem. Ask what the food temperature is on arrival and how long after cooking it is dispatched.
5. Delivery windows that respect Gachibowli traffic
A vendor delivering from across the city will hit the 12:30 PM crunch on the Gachibowli flyover. Ask where the kitchen is and what their buffer is. 6. Gate pass and security process
Large campuses need the delivery vehicle number, driver name and ID shared in advance. Confirm the vendor will do this every time without being chased. Ask whether they have delivered inside gated tech parks before.
7. A paid pilot before any contract
Never sign a monthly program on the strength of a sales call. Order a one-off team lunch (minimum 10 plates at most vendors) or a one-week trial of daily meals and judge it on the actual day. Pay for the pilot; free pilots tend to get special treatment that does not repeat.
8. A tasting for the deciding team
For events above 100 guests, ask for a tasting of the proposed menu. It costs the vendor a little and tells you a lot about consistency, portion size and spice level.
9. One named escalation contact
Get a single coordinator's name and mobile number for your account, not a generic "customer care". On event day you want one person who can reach the kitchen and the driver.
10. Cancellation and change terms
Headcounts move. Agree in advance what happens if you drop from 120 to 90 guests two days before, or add 30 the night before. Reasonable vendors will allow changes up to 24 hours out for small orders and 48 to 72 hours for larger custom menus.
11. Allergen and dietary handling
Ask how they handle nut, dairy and gluten requests, and whether special plates are labelled. Ask what they do if an employee reports a reaction. The answer should be immediate and specific, not "we are careful".
12. References from similar offices
Ask for two offices of similar size in the Gachibowli, HITEC City or Financial District corridor that they have served in the last six months. Then actually call one.

Anything much cheaper than the first row usually means bulk trays, no GST invoice, or both. Anything much higher for daily meals is paying for a brand, not the food.
Lead times to build into your calendar
- Team lunches under 50 guests: 24 to 48 hours.
- Events of 100 or more with a custom menu: 5 to 7 working days.
- Same-day orders: possible, but call first and expect a shorter menu.
- Diwali, year-end and Eid weeks: book two to three weeks earlier than usual; every vendor's calendar fills at the same time.
